Administrative Assistant - International Aid

Summary

The Administrative Assistant will provide clerical support and assistance to the International Aid Department and coordinated support to other Administrative staff. This position will report directly to the International Aid Department Director. Please read the full description before applying. Responsibilities

  • Coordinate communications between the Department Director and other staff members, contacts and external parties.
  • Draft correspondence, memos and other documents.
  • Serve as the primary contact while the Department Director is out of the office. Prioritize and provide briefings on urgent matters, upcoming proposal deadlines, meeting requests, travel, etc.
  • Research travel itineraries for students from developing countries and coordinate travel arrangements.
  • Compile documents and other materials required by Consulates and Embassies for:
    • Shipment authorizations including money orders, certificates and other documents.
    • Visa authorizations for student trainees including supporting documents, e-mails and phone communication.
  • Compile trainee documents and maintain files.
  • Modify / create formats for newsletters and internal documents.
  • Research and apply for grants.
  • Prepare FedEx, UPS and DHL documents for shipment and schedule courier services.
  • Update and maintain the shipping roster.
  • Operate various office machines, such as the computer, calculator, facsimile, copy and binding machines.
  • Translate and edit letters and documents.
  • Perform other duties as assigned.

Requirements

  • Associate’s Degree or equivalent and 2+ years of related experience.
  • Previous experience working in a nonprofit environment is preferred but not required.
  • Ability to use word processing, database and spreadsheet software effectively.
  • Knowledge of Word, Excel, PowerPoint, Publisher, Visio and Windows.
  • Knowledge of international development helpful.
  • Strong oral and written communication skills in English and one other foreign language, French preferred.
  • Ability to work with a wide range of information, organize details and meet deadlines under pressure.
  • Ability to multitask, work in a fast paced environment, be creative and work well with others.
  • Strong writing, typing, data entry and numerical skills. (min. 50 wpm)
